Overview
Required Subscription: Event Lead Capture Plan
If you manage your in-person event calendar in HubSpot, you can import those records directly into Popl instead of creating each event by hand.
Pick the events you want, apply an existing Event Flow as a template, and Popl creates an event for each one with your capture setup already in place. This saves time when you run a full calendar of events and want consistent capture settings across all of them.
Who this is for
Account admins who manage events in Popl and have HubSpot connected. You need admin-level access to create events and manage integrations.
Before you start
You need an active HubSpot integration in Popl
At least one existing Event Flow to use as a template, if you want your capture settings applied to the imported events
Marketing Events or Campaigns already created in HubSpot
Choosing Your Import Source
You can import from either HubSpot object.
Source | Use When |
Marketing Events | Your in-person events are tracked as HubSpot Marketing Events. Supports segment and marketing event status settings during import. |
Campaigns | Your events are tracked as HubSpot Campaigns. Segment and marketing event mappings are not applied during import. |
If both exist in your HubSpot account, use whichever is your source of truth for in-person events.
Importing from HubSpot Marketing Events
Go to Event Flows in the Popl dashboard.
Select Import from CRM, then choose HubSpot Marketing Events.
Select the events you want to import from the list.
Choose an existing Event Flow to use as the template. Your capture fields, qualifiers, and follow-up settings will be applied to every event you import.
Choose your segment behavior. Check the box to send leads to the same segment as the template, or leave it unchecked to assign no segment.
Select the Marketing Event Status you want applied. These are the same status options available in your HubSpot integration settings.
Confirm the import.
Importing from HubSpot Campaigns
Go to Event Flows in the Popl dashboard.
Select Import from CRM, then choose HubSpot Campaigns.
Select the campaigns you want to import.
Choose an existing Event Flow to use as the template.
Confirm the import.
Segment and marketing event mappings are not carried over when importing from Campaigns, even if they are set on the Event Flow you selected as your template.
Popl calls this out on screen during import. If you need those settings, add them to each event after the import completes.
What to expect
Once the import finishes, each selected HubSpot record appears as its own event on your Event Flows page, using the event name and dates from HubSpot.
Every imported event has the Event Flow you selected applied, so reps can start capturing leads without any additional setup. Open any event to review or adjust its settings individually.
Importing an event does not change anything in HubSpot. Your Marketing Events and Campaigns stay exactly as they are.
Troubleshooting
Issue | What to Do |
No events appear in the import list | Confirm your HubSpot integration is connected and active in Popl settings. Then confirm the Marketing Events or Campaigns exist in the HubSpot account you connected. |
An imported event has no segment assigned | If you imported from Campaigns, segments are not applied during import. Open the event and set the segment manually. If you imported from Marketing Events, check that the segment box was selected during import. |
The imported event has no capture fields or qualifiers | No Event Flow template was selected during import. Open the event and apply or build the flow you want. |
Leads are not syncing back to the HubSpot Marketing Event | Confirm a Marketing Event Status was selected during import. If you imported from Campaigns, this mapping is not applied and needs to be set on the event. |
FAQ
Question | Answer |
Can I import the same events again later? | Yes. You can run an import at any time as new events are added in HubSpot. If you import events into Popl that already exist in Popl, duplicates will not be created. Instead, the existing ones will be updated with new info from the HubSpot events. |
Do changes in HubSpot update my Popl events? | No. The import is a one-time creation. Edits made in HubSpot after the import do not update the Popl event, and edits in Popl do not change the HubSpot record. |
Can I apply different Event Flows to different events in one import? | No. One template applies to everything in a single import. To use different flows, run separate imports or adjust individual events afterward. |
