Importing Events from a CSV File

Create Popl events in bulk by uploading a spreadsheet of your event calendar and applying an Event Flow as a template.

Overview

Required Subscription: Event Lead Capture

If your event calendar lives in a spreadsheet, you can upload it to Popl and create every event on it at once, instead of creating each one by hand.

You map your spreadsheet columns to Popl fields, review the dates, choose an existing Event Flow to copy settings from, and assign members. A final screen shows you what is about to be created, and nothing is created until you confirm it there.

Every event comes out ready to capture leads.

Who This Is For

Full Team Admins and Subteam Admins. Import is available on the web dashboard only.

Before You Start

You will need:

  • A .csv or .xlsx file with one row per event

  • A column for the event name, the start date, and the end date

  • All dates written as MM/DD/YYYY

  • An existing Event Flow to use as your template, if you want your capture settings applied to the imported events

What Your File Needs

Requirement

What It Means

One row per event

Each row becomes one event in Popl.

Three required columns

Event name, start date, and end date. A row missing any of these is flagged before anything is created.

Headers can be named anything

You match your columns to Popl fields during the import, so no specific header text is required.

Dates must be MM/DD/YYYY

09/11/2026 is read as September 11, 2026. If your file uses a different format, change it before uploading.

Up to 5,000 rows per import

Larger files are not accepted. Split the file and run it in batches. Imports are additive, so nothing already in Popl is affected.

Optional columns

Location and description can also be mapped. Any other column is ignored.

Importing Your Events

  1. Go to Events in the Popl dashboard.

  2. Click Import, then choose From CSV.

  3. Click Select a file to upload, or drag your file into the window. Popl tells you how many rows and columns it found.

  4. Click Continue.

  5. On Map your columns, check that each Popl field is matched to the right column. Popl matches what it can automatically. Use the CSV Column dropdown to change any that are wrong, and the Preview column to confirm the values look right.

    • Event name, Start date, and End date are required. Continue stays disabled until all three are mapped.

    • Location and Description are optional. Leave them as Not mapped if you do not have them.

  6. Click Continue.

  7. On Review your events, check the dates. Each row shows its start date, end date, and a status (see the table below).

  8. Click Continue.

  9. On Apply a template, select an existing event from Select Popl event as template. Its settings are copied onto every event you are creating. Click View what comes from your CSV to see which details come from your file instead.

    • To create events with no settings applied, click Skip. You will need to set up each event individually afterward.

  10. Click Continue.

  11. On Assign members to these events, choose who captures leads at these events. Leave Assign the same members to all events checked to use one set of members everywhere, or uncheck it to pick members per event.

  12. Click Assign & Continue.

  13. On Review Event Flow Creation, check the summary: the template, how many members will be assigned, and how many events will be created. Click Previous to go back and change anything.

  14. Click Create Event Flows. Nothing is created until you click this. Leave the window open while Popl works.

Row Statuses on the Review Step

Status

What It Means

What Happens

Ready

The row has no problems.

Created.

Needs attention

The row has a date problem, such as a missing end date. The reason is shown.

Skipped by default. Uncheck Skip the rows that need attention to fix the dates in place. A fixed row turns green.

Already exists

The row matches an event already in Popl, or another row in the same file.

Skipped automatically and cannot be edited here. Popl never overwrites an existing event.

Yes

Event name, start date, end date, location

No. These come from your file exactly as uploaded.

Note: Settings are copied once, when the events are created. Editing the template afterward does not change events you already imported.

What to Expect

The event count on Review Event Flow Creation already excludes rows you skipped and rows that already exist, so it reflects exactly what will be created.

After you click Create Event Flows, Popl creates the events and takes you to your Events page, where a banner names the file you imported. Larger imports show a progress window first, so leave it open until it finishes.

New events show empty metric columns until leads start coming in. This is expected for a brand new event.

Troubleshooting

Issue

What to Do

That file type isn't supported

Popl accepts .csv and .xlsx. If your calendar is in a PDF or Google Sheet, export it as a spreadsheet first.

There's nothing to import in this file

Popl found a header row but no rows under it. Check that you exported the rows, not just the column titles.

This file has more rows than one import allows

The limit is 5,000 rows. Split the file and run it in batches.

Continue is greyed out on the mapping step

A required field is unmapped. Check that Event name, Start date, and End date each have a column selected.

The dates on my imported events are wrong

Your file was likely in a format other than MM/DD/YYYY, so 03/04 was read as March 4 instead of 4 March. Fix the dates on each event, or delete them and re-upload a corrected file.

My imported events have no capture fields or qualifiers

No template was selected during the import. Open each event and apply or build the flow you want.

A column from my file did not come through

Only event name, start date, end date, location, and description can be mapped. The mapping step lists which columns will not be imported.

Some of my rows show Already exists

They match an existing event or an earlier row in the same file, so they are skipped to prevent duplicates. To create a second event with that name, rename it in your file and upload again.

FAQ

Question

Answer

Can I import more than once?

Yes. Imports are additive. Rows that match an event you already have, or another row in the same file, are flagged Already exists and skipped, so re-running an overlapping file will not create duplicates.

Can I apply different templates to different events in one import?

No. One template applies to the whole import. Run separate imports, or adjust individual events afterward.

Can I fix an event name during the import?

No. Only dates can be edited during Review. Fix names in your file before uploading, or rename the event after it is created.

Can I import from my phone?

No. Import is available on the web dashboard only.

What happens if I close the window partway through?

Nothing is created. Your upload, mapping, and date fixes are discarded if you leave before clicking Create Event Flows.

Can non-admins import events?

No. Importing is limited to Full Team Admins and Subteam Admins.
