Dynamic Follow Up Email

Set up dynamic follow-up email paths in Event Flows so leads get relevant emails based on captured data, with priority order and timing controls.

Dynamic Follow Up Email lets you set up multiple email paths inside the Follow Up Email step of an Event Flow.

Each path has its own filter logic and email; for example, a lead interested in one product gets that product's email, while a lead who stopped by just for a raffle gets nothing. Every lead receives at most one follow-up email per Event Flow, sent at the timing you set in the Event Flow.

Before you start

  • Full Team Admin or Subteam Admin access is required

  • An existing Event Flow, or a new one you are building

  • The fields you plan to filter on already added to the flow. If you want to send different emails based on a qualifier, that qualifier needs to be part of your data capture setup, so it is populated at scan time

What It Means

One email per lead, per Event Flow

A lead receives at most one automatic follow-up email from a given flow. There is no second email later.

First matching path wins

Paths are checked in priority order, top to bottom. The lead gets the email from the first path it matches and nothing else.

Leads that match no path get nothing

This is intentional. Use it to exclude raffle traffic, competitors, students, or anyone else you do not want emailed.

Timing is global

One timing setting applies to every path. Whichever email a lead receives goes out at that time.

Editing a lead re-runs the evaluation

If a lead's fields change before its email has sent, the lead is re-evaluated against the current flow setup. Any previously scheduled email is canceled and a new one is scheduled if it matches a path. Time delays stay anchored to the original capture time, not the edit time. If the lead has already received its email, editing it does nothing.

Reassigning a lead to a different Event Flow makes it eligible again

Any email scheduled in the old flow is canceled, and the lead is evaluated against the new flow.

List Enrichment and CSV imports never trigger follow-up emails

This applies even if those leads land in an Event Flow.


Setting it up

  1. Open your Event Flow and find the Follow Up Email card.

  2. Click Add, or Edit if one is already configured.

  3. Under Timing, choose when the email sends. Options are Immediately (default), a delay after lead capture, or a specific date and time.

  4. Under Follow Up Email, set the filter for your first path. A single path defaults to All Leads, which emails everyone.

  5. Choose the email for that path. You can pick an existing follow-up email or create a new one. If you create a new one, you will be asked to name it before saving.

  6. To send different emails to different leads, click Add Email Path and repeat steps 4 and 5. You can only add another email path if no current path is set to send to All Leads.

  7. Click Save to Flow.

Choosing a Specific Send Date

If you set Timing to a specific date and time, any lead captured after that date has passed receives the email immediately on capture. The same applies to a lead that newly matches a path after that date because its fields were edited.

Building Filters

  1. Click the field selector to choose what to filter on.

    1. Fields are split into Default Fields and Custom Fields tabs, and the list is searchable.

    2. Once you pick a field, the operator and value selectors appear.

    3. Operators depend on the field type and work the same way as filters on the Leads page.

  2. Click + Add to add another condition to the path.

    1. The AND / OR selector applies to every condition in that path, not just one row. Changing it on one row changes it for all of them.

    2. The default is AND. Mixing AND and OR inside a single path is not supported.

  3. Click the trash icon on any row to remove that condition.

Setting Priority Order

Once you have two or more paths, each one shows a Priority number label and a drag handle. A lead stops at the first path it matches.

The main use case for priority ordering is sending a catch-all path to All Leads. This path should sit at the bottom. You can add up to 10 paths per step.


Managing Your Follow-Up Emails

Follow-up emails live on their own Follow Up Emails page, accessible from the side menu. Only Full Team Admins and Subteam Admins can see it.

The page lists every email your team has created with Email Name, Subject, and Date Created, sorted newest first. Use the search bar to find one by name.

Emails are reusable across flows

The same follow-up email can be used in as many Event Flows as you want

Editing an email updates it everywhere

Changes go live immediately. Any email already scheduled but not yet sent will go out using the latest version

Deleting an email removes it from every flow using it

This also cancels it for any lead currently scheduled to receive it. You will see a confirmation warning before this happens. Select one or more emails and use bulk delete to remove them


Tracking and Canceling Follow-Ups

The Leads page has an Event Flow Follow Up column showing the status of each lead's follow-up email.

The email is queued and has not been sent yet

Not sent or scheduled

The lead did not match a path, or its email was canceled

Hover over the mail icon to see which follow-up email the lead received or is scheduled to receive.

Use the Event Flow Follow Up filter to narrow the list by status, or by a specific follow-up email.

Canceling Scheduled Emails

Select the leads you want, then choose the cancel follow-up action from the bulk action bar. Select All works here if you need to cancel across a large set. Once canceled, the column reverts to empty for those leads.

Only Full Team Admins and Subteam Admins can cancel follow-up emails.


What to Expect

After saving, the Follow Up Email card in your flow builder shows a summary:

  • The timing at the top

  • One row per path with its email name

  • A line at the bottom reading "All other leads will not receive follow up emails."

Leads captured into the flow are evaluated at capture. Depending on your timing setting, the Event Flow Follow Up column on the Leads page will show a mail icon as Scheduled or Sent shortly after.

To verify your setup before the event, use Test Flow.

Test leads are evaluated against your path filters, so a test lead that does not match any path will not receive an email. That is expected behavior, not a failure.

Notes

  • If you change your path logic or timing after leads have already been captured, all scheduled emails in that flow are canceled and rescheduled under the new rules.

  • Delays stay anchored to each lead's original capture time.

  • Leads that already received their email are unaffected.


Troubleshooting

Save to Flow is greyed out

If a path is not set to All Leads, it also needs a filter field with a value applied. Check each path for a blank selector

Some leads did not get any email

They did not match a path. Filter the Leads page by Event Flow Follow Up is Not Sent or Scheduled to see who was skipped, then check whether the field you filtered on was left blank at capture

Leads are all getting the same email

Check your priority order. If a broad path, like All Leads, is Priority 1, every lead matches it first and stops there. Drag your more specific paths above it

A rep left a qualifier blank, and the lead was skipped

Edit the lead and fill in the field. As long as the email has not already sent, the lead is re-evaluated and scheduled automatically

Imported leads are not getting follow-ups

Leads from List Enrichment and CSV import never trigger follow-up emails, even inside an Event Flow. This is by design

I cannot find the Follow Up Emails page

It is admin-only. You need Full Team Admin or Subteam Admin access to see it in the side menu

Can a lead receive more than one follow-up email?

Not from the same Event Flow. If the same person is captured as two separate lead records in one flow, each record is eligible for its own email. If a lead is moved to a different Event Flow, it becomes eligible for that flow's follow-up.

Can each path have its own send time?

No. Timing is one global setting that applies to every path in the step.

Does this replace my nurture sequence?

No. This is a single quick follow-up sent close to the interaction, meant to bridge the gap before your sequence or a rep picks up the conversation.

Can I use AND and OR together in one path?

No. A path uses either AND or OR across all of its conditions. If you need mixed logic, split it into two paths.

What happens if I edit an email that is already scheduled to send?

The scheduled sends will go out with your updated version. Edits apply immediately across every flow using that email.
