Overview
Required subscription: Event Lead Capture
Dynamic Sync Paths let you decide where each lead in an Event Flow goes, or whether it syncs at all. For example, you can send hot leads to Salesforce, warm leads to HubSpot, and keep cold leads in Popl for later review.
You configure Sync Paths in the Sync step of an Event Flow. After you save the flow, Popl evaluates captured leads automatically using the conditions you set.
Before you start
You must be a Full Team Admin or Subteam Admin with access to the integration connections used as destinations.
If you plan to route leads using qualifier answers, create the qualifiers first. A path can filter only on fields that already exist in the Event Flow.
How Sync Paths work
Each Sync Path contains a destination and, optionally, one or more conditions. When a lead is captured or updated, Popl checks that lead against every path in the Sync step.
Matches one path | → | The lead syncs to that destination. |
Matches more than one path | → | The lead syncs to every destination it matches. |
Matches no path | → | The lead does not sync anywhere. It stays in Popl and is marked with a blocked icon in the Leads page “Sync & Export” column. |
Lead is edited | → | Popl re-checks it against the current paths that exist in the Event Flow. |
Important: You can create up to 10 paths. Conditional paths require Auto Sync. Manual sync ignores path conditions and uses the destination you select. |
When a lead is edited, Popl evaluates it again.
A blocked lead can sync automatically after missing information is added.
This makes a field such as Completed useful for holding leads until they contain the information you require.
Your CRM assignment rules and workflows still run after Popl creates a record and can overwrite Popl routing or ownership. Sync Paths do not apply to List Enrichment or CSV leads.
Existing Event Flows: The current destination becomes one All Leads path, and the existing Auto Sync setting is preserved. Nothing changes until you add conditions. |
Set up Sync Paths
1. Open the Event Flow
Go to Event Flows and open the flow you want to configure.
2. Open the Sync step
Select Add if no integration is configured, or Edit if the step already has a connection.
3. Choose the first destination
In the Lead Sync window, select the CRM or marketing destination for the first path.
4. Add a condition
Choose a field from Default Fields or Custom Fields, select an operator, then choose or enter a value. You can search for a field by name.
5. Add more conditions to the path
Select Add below the last condition. Choose And or Or for the path. The selected operator applies to every condition in that path.
6. Add another path
Select Add Another Path, choose its destination, and configure its conditions.
7. Save the setup
Select Save to Flow. This button remains unavailable until every path has a destination.
Understand Condition Matching
The available operators depend on the field type. The definitions below explain the options that are easiest to confuse.
Text fields
Operator | A lead matches when | Example |
Contains | Its value includes your text anywhere. Matching is not case-sensitive. | Fintech Solutions matches tech. |
Doesn't contain | Its value does not include your text anywhere. | Finance does not match tech. |
Is | Its full value equals your text. Matching is not case-sensitive. | Tech matches tech. Fintech Solutions does not. |
Is not | Its full value is different from your text. | Finance is not Tech. |
Is not empty | The field contains any value. | A company name is present. |
Is empty | The field contains no value. | No company name is present. |
Single Select and Multi Select fields
Operator | A lead matches when | If the path values are Hot and Warm |
Is (exact match) | Its selected values are exactly the values in the condition, with nothing missing or extra. | Hot + Warm matches. Hot alone does not. Hot + Warm + Cold does not. |
Is any of | It has at least one value in the condition. | Hot, Warm, or Hot + Warm matches. Cold alone does not. |
Is none of | It has none of the values in the condition. | Cold matches. Hot or Warm does not. |
Is not empty | It has at least one selected value. | Any selection matches. |
Is empty | It has no selected values. | No selection matches. |
Combine conditions in one path
Use And when every condition must be true. Use Or when any condition can be true.
You cannot mix And and Or inside one path. Create another path if you need different logic.
Removing every condition changes the path to All Leads.
Confirm which leads will not sync
When at least one path contains conditions, the Lead Sync window displays: All other leads will not be synced.
This means any lead that does not match a path stays in Popl. You can manually sync that lead later.
Test your paths before the event
Use Test Event Flow before the event begins. The test respects your conditions. If your test lead does not meet the conditions on any path, the sync step is skipped, and the test result shows that no sync occurred.
Test one lead per path using realistic qualifier answers.
If you intend to block some leads, test one lead that should match no paths.
Confirm that each record reaches the correct destination and follows the expected CRM rules.
Review sync results
After you save, the Sync step shows each path, its destination, and Auto Sync Required when conditions are present. Review outcomes on the Leads page in the Sync & Export column.
Lead state | What you see | What it means |
Synced | Sync icon | The lead matched a path and synced automatically, or it was synced manually. |
Blocked | Sync Blocked icon | The lead did not match any path during the most recent evaluation. |
Exported and blocked | CSV export icon and Sync Blocked icon | The lead was exported to CSV but did not match a Sync Path. |
Filter the Leads page by blocked leads to review them together. If you manually sync a blocked lead later, the sync icon replaces the blocked icon.
About Sync Logs: Blocked leads do not appear in Sync Logs because Popl did not attempt a sync. Sync Logs show attempted syncs and their outcomes. |
Troubleshooting
Issue | What to do |
No leads are syncing | Check whether every lead is failing to match a path. Compare the conditions with the qualifier answers reps actually select. If you need a catch-all path, remove its conditions so it becomes All Leads. |
A path stops matching after qualifier changes | Renaming, merging, or deleting qualifier options can leave a condition linked to an old value. Reopen each path and select the values again after qualifier changes. |
Leads have the wrong owner in the CRM | Your CRM assignment rules run after Popl and can take precedence over the owner set in the path. Ask your CRM admin to review those rules. |
A lead synced to two systems | The lead matched more than one path. Tighten the conditions or use Or less broadly if each lead should reach only one destination. |
Auto Sync cannot be turned off | Conditional paths require Auto Sync. Remove every condition to make the path All Leads if you need manual sync only. |
List Enrichment or CSV leads are not routing | Sync Paths do not apply to these sources. Sync those leads manually. |
Frequently asked questions
Question | Answer |
Do Sync Paths copy when I duplicate an Event Flow? | Yes. The path destinations and conditions copy with the Event Flow. |
Can a blocked lead sync later without manual action? | Yes. If the lead is updated and then matches a current path, Popl syncs it automatically. |
Can I manually sync a blocked lead? | Yes. Manual sync ignores path conditions and sends the lead to the destination you select. |
Will my synced lead volume decrease? | It may. If your paths intentionally hold back leads that should not enter your CRM, fewer leads will sync. The goal is to improve lead quality and reduce manual cleanup. |
Can one lead sync to more than one destination? | Yes. Popl checks every path, so a lead syncs to each path it matches. |
