Overview
Required Subscription: Event Lead Capture
Event Flow Settings let you control how Popl enriches the leads captured in one Event Flow. You can tell Popl to apply the same company to every lead, to ignore the company on the badge entirely, to show country codes on phone fields, and which email addresses to save.
Settings are saved per Event Flow, so the choices you make for a day on site at one customer do not affect your trade show flow.
Before You Start
Full Team Admin or Subteam Admin access is required. Members do not see the Event Settings button.
You need an existing Event Flow, or a new one you are building.
To use Overwrite Personal Emails from Badge Kit, a badge kit must be connected to the flow in the Data Capture step.
How It Works
Behavior | What It Means |
Settings apply to one Event Flow | Nothing here is a team-wide default. If you want the same behavior on another flow, set it there too. |
Settings apply to leads captured after you save | Leads already in the flow are not re-enriched or rewritten. If you change a setting partway through an event, it applies from that point forward. |
Apply the Same Company behaves differently on scans and on manual entry | On a badge scan or a badge kit scan, the company you set replaces whatever is on the badge, every time. On a manually created or enriched lead, it pre-fills the Company field and stays editable, and whatever the rep types is what gets saved. |
No Company on the Badge changes how enrichment matches | Instead of reading a company off the badge, Popl matches on the lead's name plus their location and credentials. You will see fewer emails found automatically. |
Email settings govern different sources | Include Personal Email Addresses in Enrichment controls what Popl enrichment returns. Overwrite Personal Emails from Badge Kit controls what is kept from a badge kit. They do not affect each other, and any combination of the two is valid. |
Enrichment only fills empty fields | This is unchanged. No setting here causes Popl to overwrite information a rep entered manually. |
Duplicating a flow carries most settings over | A duplicated flow keeps the phone country code and email settings from the original. Apply the Same Company for Every Lead is the one setting that does not carry over, so set it again on the new flow if you need it. |
Setting Up Event Flow Settings
Open your Event Flow.
Click Event Settings in the top right of the flow header, to the left of Test Flow. The Event Flow Settings modal opens over your flow.
Configure the sections below. Save Changes stays disabled until you change something.
Click Save Changes.
Company Name
Choose one of three options. Exactly one is always selected.
Option | What It Does |
Find the Company Name on Badge (Default) | Popl reads the company name off the badge and enriches from it. This is how Popl has always worked and requires no setup. |
Apply the Same Company for Every Lead | Popl applies the company you type to every lead in this flow. Use this when everyone you will scan works for the same company, like an on-site briefing or a demo day at a single account. See the table below for how it behaves on each capture method. |
No Company on the Badge | Popl enriches each lead without using any company information from the badge. Use this when badges show a name and a credential but no employer. |
If you choose Apply the Same Company for Every Lead, a text field appears below it. Type the company that should be applied to every lead in this flow. The field is required, and if you try to save with it empty, you will see Company Name is required below the field.
How the company you set is applied depends on how the lead is captured.
Capture Method | What Happens |
Badge scan | Your company replaces whatever is on the badge on every lead. |
Badge kit scan | Your company replaces the company returned by the badge kit on every lead. |
Manual lead on mobile | The Company field is pre-filled with your company and stays editable. If the rep types a different company, that is what is saved. |
Manual or enriched lead on the dashboard | Same as mobile. The field is pre-filled and editable, and what the rep types is saved. |
Lead Capture Form | Your company is not applied. The company field on the form is still filled in manually. |
Note: The pre-fill is deliberate. The person creating the lead always keeps the final say on the company name, so the setting never overwrites something that was typed in.
If you choose No Company on the Badge, a yellow callout appears reading: Expect your reps to fill in email more frequently. This is worth reading before your event. Without a company to match against, Popl finds fewer email addresses, so your reps will type them in more often. You can dismiss the callout with the X without changing the setting.
Phone Number Country Code
Toggle Enable Phone Number Country Codes on to add a country code selector to every phone number field for leads in this flow. It is off by default.
This is the same setting as the Enable country code option in each phone number field's menu in Data Capture. Turning it on in either place turns it on in both, and it always applies to every phone field in the flow.
Email Enrichment
Setting | Default | What It Does |
Include Personal Email Addresses in Enrichment | On | Adds personal email addresses found during enrichment. Turn it off to save work emails only. A lead whose only findable address is personal will come back with no email. |
Overwrite Personal Emails from Badge Kit | Off | When a badge kit returns a personal email (Gmail, Yahoo, and so on) and Popl enrichment finds a work email, only the work email is kept. Requires a badge kit on the flow. |
Turning off Include Personal Email Addresses in Enrichment changes what enrichment returns. It never removes a personal email that a rep typed in manually, or that came from a badge kit.
If the flow has no badge kit, Overwrite Personal Emails from Badge Kit is greyed out, and a callout appears reading Requires Badge Kit. Click Go to Data Capture to set one up. Once a badge kit is connected, the setting becomes available.
Setting Company Name from Data Capture
You can also reach the Company Name setting from the field itself. Both places save the same value.
Open the Data Capture step of your Event Flow.
Under Enriched Fields, find the Company Name row.
Click the ... menu on that row and choose Company Field Settings.
Pick your option and save.
Whichever place you save from, the other one reflects your choice. There is one stored setting per flow, not two.
What Your Reps See
Reps do not see the Event Settings button and cannot change any of these settings. What changes for them is the scan itself.
When a flow is set to No Company on the Badge, the rep is prompted to enter a company after a scan completes, since Popl is no longer reading one off the badge.
Reps scanning someone with a medical credential in their name are not prompted, because Popl can usually find medical professionals without a company.
What to Expect
After you save, the Create Lead preview in the Data Capture step reflects your Company Name choice. With Apply the Same Company for Every Lead, the Company field shows the value you typed. With No Company on the Badge, it shows that the field will be left blank.
To check your setup before the event, use Test Flow and scan a test badge. The lead that comes back shows the company handling you configured.
Two things are expected behavior rather than a problem:
With No Company on the Badge, fewer leads come back with an email address found automatically. That is the trade-off for not guessing at a company.
With Apply the Same Company for Every Lead, scanned leads that had a valid company on the badge still come back with your company. On scans the setting overrides the badge every time. On manually created leads it only pre-fills the field.
Troubleshooting
Issue | What to Do |
Save Changes is greyed out | Nothing has been changed yet. The button enables as soon as you change a setting. |
Company Name is required appears when I save | You selected Apply the Same Company for Every Lead but left the company field empty. Type a company name and save again. |
Leads are still coming back with the company from the badge | Check that the flow you are looking at is the one you changed, since settings are per Event Flow. Also check when the leads were captured, since leads captured before you saved are not re-enriched. |
I changed a setting mid-event, and my earlier leads did not update | This is by design. Settings apply to leads captured after you save. Earlier leads keep the data they were enriched with. |
Overwrite Personal Emails from Badge Kit is greyed out | The flow has no badge kit. Click Go to Data Capture in the callout to set one up. |
My reps are being asked for a company on every scan | The flow is set to No Company on the Badge. If badges at this event do print a company, switch back to Find the Company Name on Badge. |
I do not see the Event Settings button | It is admin-only. You need Full Team Admin or Subteam Admin access, and Subteam Admins only see it on flows in their subteam. |
I duplicated a flow and the company I set did not come with it | This is by design. Apply the Same Company for Every Lead does not carry over to a duplicated flow. The phone country code and email settings do. Set the company again on the new flow. |
FAQ
Question | Answer |
Can I set these once for my whole team? | Not today. Every setting is configured per Event Flow. |
Does changing a setting fix leads I already captured? | No. Settings apply to leads captured after you save. |
Does Apply the Same Company overwrite a company a lead typed on my Lead Capture Form? | No. On a Lead Capture Form, the company name is typed in by the lead. The setting only overrides on badge scans and badge kit scans. |
If I turn off personal emails, do I lose the ones I already have? | No. The setting only affects what enrichment returns going forward. Emails already on a lead stay. |
If I duplicate this flow, do my settings come with it? | Most of them. Phone country code and the email settings carry over. Apply the Same Company for Every Lead does not, since the company is usually specific to that one event. |
Do these settings apply to Digital Business Card teams? | No. Event Settings are part of Event Flows, which are available on Event Lead Capture teams. |
