Overview
Required Subscription: Event Lead Capture
You can create new Event Flows from one you already have. Pick a source flow, then name and date the flows you want. Their capture fields, qualifiers, tagging, CRM sync, and follow-up email all carry over, ready to use.
You can create up to 10 flows at a time from a single source, so a whole roadshow can be set up in one pass. You can also pin up to 5 flows to keep your go-to setups at the top of the picker.
Before You Start
You need to be a Full Team Admin or a Subteam Admin. Members who cannot create Event Flows will not see this option.
You need at least one existing Event Flow. If your team has none, Create Event Flow opens the create from scratch experience directly and skips the menu.
Any Event Flow you can see on your Event Flows list can be used as a source, including past and completed flows.
How It Works
Behavior | What It Means |
It copies once and does not stay linked | New flows are a snapshot of the source at the moment you create them. Editing the source afterward does not change them, and editing one new flow does not change the others. |
Any flow can be a source | Any Event Flow visible on your Event Flows list works, including past and completed flows. |
One source per batch | Every flow you create in a single pass copies from the same source flow. |
You can create 10 flows at a time | Add up to 10 rows in one pass. The Add another event button turns off once you reach 10. |
A batch has fewer steps | Creating one flow takes 3 steps. As soon as you add a second flow, the Optional Event Details step is skipped, and the process becomes 2 steps. |
Names always start empty | Nothing is filled in from the source flow's name. You name and date each new flow yourself. |
Pins are yours alone | Pinned flows are saved per user. Other admins on your team keep their own separate pin lists. |
You can pin 5 flows | Unpin one to make room for another. Pins are saved between sessions. |
What Gets Copied
Setting | Copied? |
Data Capture: capture fields, qualifiers, lead completion rules, Lead Capture Form configuration, phone country code | Yes |
Tagging: advanced tagging rules and custom field tags | Yes. Your primary event tag is generated fresh from the new flow's name. |
Lead Sync: CRM connection, field mappings, sync settings | Yes |
CRM campaign | Yes. The source flow's campaign carries over, the same as when you duplicate an Event Flow. Change it per flow in Lead Sync if each event needs its own. |
Follow-Up Email: template, timing, on or off | Yes |
Event type | Yes |
Assigned members | Yes, prefilled on every new flow. You can change them before you finish. |
Lead goal | No. Set it in the flow's settings after it is created. |
Badge kits | No. These are specific to each event. |
All-In Event Cost and Event Website | No. Add them in the optional step when creating one flow, or in the flow's settings afterward. |
Event Flow Settings | No, with one exception. Phone country code carries over because it is part of your capture setup. Everything else starts at the default, and you can adjust it per flow. |
Leads and performance data | No. New flows start empty. |
Creating Flows from an Existing Flow
Go to Event Flows in the dashboard and click Create Event Flow.
Select Create from existing. A picker of your team's Event Flows opens.
Find the flow you want to copy from. Use Search Event Flows at the top to filter by name. Search covers both groups, so a pinned flow that does not match drops out of the list while you are searching. Each row shows the flow's status, name, dates, and the steps it includes. Flows are listed newest first by date.
The step list is shortened to fit the row. Hover over it to see every step in that flow.
Click the row. The Create from Existing Event Flow window opens with that flow set as your source.
To choose a different source, click the Select a source flow field to reopen the picker. You do not have to start over.
Under Event flows to create, fill in the first row:
Event flow name: what you want this flow to be called.
Starts and Ends: click each field to open the calendar, set a date and time, and click Select Date.
Event Time Zone: defaults to your source flow's time zone. Change it if this event is in a different one.
To create more flows from the same source, click + Add another event and fill in the new row. Repeat for each flow you want, up to 10.
To drop a row, click Remove event flow beneath it. At least one row always remains.
Click Create & Continue. This button stays greyed out until every row has a name, a start, and an end.
If you are creating one flow only, the Optional Event Details step appears. Add All-In Event Cost and Event Website if you have them, then click Continue. Both are optional, and neither carries over from the source.
Adding the event website helps with exhibitor enrichment and prospecting for that event.
On Assign Members to these Event Flows, review who is assigned. Everyone assigned to the source flow is already carried over. See Assigning Members below for details.
Click Assign & Continue.
Pinning Your Go-To Flows
Pin the flows that represent how your team actually runs events, and they will sit at the top of the picker every time you open it.
Open the picker from Create from existing.
Click the pin icon on the right of any row.
The flow moves into the PINNED group immediately. The counter next to the group header shows how many of your 5 slots are used.
To unpin a flow, click the pin icon again on a pinned row. The flow moves back to ALL EVENT FLOWS.
Once you have 5 pinned flows, pinning another is blocked with the message "You can pin 5 flows. Unpin one to make room."
Note: Pins are saved to your account, not your team. Other admins pin their own flows. If a flow you pinned is deleted, it drops off your pin list and frees up the slot.
Assigning Members
Every new flow starts with the source flow's assigned members already in place. What you see next depends on how many flows you are creating.
Creating | What You See |
One flow | The standard assignment panels: Assigned and Not Assigned, with Search members..., Filter by Subteam, Unassign All, and Assign All. |
Two or more flows | A checkbox above the panels reading "Assign the same members to all {n} event flows", checked by default. Leave it checked and one set of members applies to every flow in the batch. |
If your events need different people, uncheck the box. A dropdown labelled Assigning members to appears above the panels, and you assign members one flow at a time.
Each flow in the dropdown shows a badge with its member count, or Needs members in amber if it has none. The right side of the row shows how many flows still need members.
Notes: If you re-check the box after assigning members flow by flow, those per-flow edits are discarded, and every flow goes back to the source flow's assigned members. No warning appears first.
A flow with zero members is allowed. The amber warnings never block Assign & Continue, and members can still self-assign from the mobile app.
What to Expect
Your new flows are ready to use as soon as you finish. Everything from the source is already in place, so there is nothing to rebuild.
If You Created | Where You Land |
One flow | Inside the new flow, the same as creating from scratch. Open the Data Capture, Tagging, Lead Sync, and Follow-Up Email steps to see your settings carried over. |
Two or more flows | Back on your Event Flows list. The new flows sit at the top of Active & Upcoming with empty metric columns. This is expected. Metrics fill in once leads start coming in. |
Your source flow's CRM campaign carries over to every new flow. If each event needs to report separately, open each new flow's Lead Sync step before the event and select that event's own campaign.
New flows appear for assigned members in the mobile app on their next sync, the same as any other Event Flow.
Troubleshooting
Issue | What to Do |
Create Event Flow opens the create from scratch experience with no menu | Your team has no Event Flows yet, so there is nothing to copy from. Create your first flow from scratch, and the menu will appear from then on. |
You cannot pin another flow | You already have 5 flows pinned. Unpin one and try again. |
Create & Continue is greyed out | One of your rows is missing a name, a start, or an end. Every row needs all three. |
+ Add another event is greyed out | You have reached 10 flows in this batch. Finish these, then start again for the rest. |
The Optional Event Details step never appeared | That step only shows when you create exactly one flow. Add All-In Event Cost and Event Website in each flow's settings instead. |
A new flow's leads are syncing to the source flow's campaign | The campaign copies from the source. Open the new flow's Lead Sync step and select the campaign for that event. |
A new flow has no lead goal | Lead goal is not copied. Set it in that flow's settings. |
You edited the source flow and the new flows did not change | This is expected. Copying happens once at creation, and the flows are independent afterward. |
FAQ
Question | Answer |
Can I use a past or completed event as my source? | Yes. Any flow visible on your Event Flows list works as a source. |
Can I copy from more than one source in the same batch? | No. Every flow in a single pass copies from the same source. Start again to copy from a different one. |
Do my teammates see the flows I pin? | No. Pins are per user. Every admin builds their own list of 5. |
Can I edit a copied setting while I'm creating the flows? | No. Create the flows first, then edit any setting in that flow's own settings. |
Can I give two new flows the same name? | Yes. Event Flow names do not have to be unique. |
Can I set start dates in the past? | Yes. Date rules are the same as creating a flow from scratch. |
What happens if I re-check "Assign the same members to all {n} event flows" after editing members flow by flow? | Your per-flow edits are discarded. Every flow goes back to the source flow's assigned members, which may be none if the source had none. No warning appears first, so uncheck the box again and reassign if you still need different members per flow. |
Does my source flow's CRM campaign come across? | Yes. Every new flow starts on the source flow's campaign. Change it in each flow's Lead Sync step if your events report separately. |
Does creating from scratch work any differently? | No. It is the same 3-step experience, now reached through the Create Event Flow menu. |
