Using Popl Prospect to Build Pre-Event Target Lists

Import and enrich attendee lists in Popl Prospect, see CRM Insights for each Person and Company, and sync your priority contacts to your CRM before the event starts.

Overview

Required Subscription: Event Lead Capture, with the Prospect add-on

Popl Prospect lives in a Prospect tab inside every Event. It turns the lists you receive before a show into People with full contact info, company details, and context from your CRM, so your team knows who to reach out to before the doors open.

You can build your list three ways. Importing an attendee list is available today. Enriching an exhibitor list and prospecting people by company and role are coming soon.

Before You Start

  • You need Full Team Admin or Subteam Admin access. Members do not see the Prospect tab yet.

  • Prospect is available on the web dashboard only.

  • Create the Event first, since Prospect lives inside it.

  • To see CRM Insights, connect Salesforce or HubSpot. See Integrations.

People, Companies, and Leads

Not everyone in Popl is a lead. Prospect adds two new record types that sit alongside your leads.

Record

What It Means

Lead

Someone your team met in person. Leads run through the Event's lead flow, automations, and auto sync.

Person

Someone associated with the Event, like a name on an attendee list. People never run through the lead flow or auto sync.

Company

The account a Person belongs to.

Note: Importing a list does not add to your lead counts or trigger follow-up emails. People only sync to your CRM when you choose to sync them.

How It Works

Behavior

What It Means

Credits per Person

Enriching a Person from an imported list uses 1 credit.

Credits per Company

Enriching a Company from an exhibitor list or Company file uses 0.25 credits. (Coming soon)

Credits per prospect

Enriching a prospect uses 1 credit. (Coming soon)

No double charges for imports

If you import someone who already exists from an earlier import in the same Event, Popl updates the existing Person instead of creating a new one, and no additional credit is used.

Companies never duplicate

Companies are matched by domain within an Event, or by exact name if there is no domain.

File limit

CSV or xlsx, up to 5,000 rows per file.

Required fields

To enrich, map name and company. Without enrichment, map email at minimum.

Auto tags

Every import adds two tags: the Event name and a timestamp. You can remove either before importing.

CRM Insights source

Salesforce and HubSpot only. More CRMs are coming soon.

Both Salesforce and HubSpot connected

CRM Insights come from Salesforce.

Multiple Salesforce connections

Popl uses the connection in the Event's Lead Flow. If the Event has none, it falls back to the full team connection, then a subteam connection.

CRM Insights refresh

Insights do not refresh automatically. Refresh them in bulk from the action bar.

Importing an Attendee List

  1. Open the Event and click the Prospect tab. You can also click Enrich Attendee List in the banner on the Event's Home tab.

  2. Click Upload Attendee List.

  3. Select your CSV or xlsx file, or drag and drop it.

  4. Map your columns to Popl fields. Name and company are required for enrichment.

    • Fields Popl will enrich appear in the Enriched Fields section. Mapping one of them to a column in your file removes it from that section.

    • To import without enriching, turn enrichment off. Email then becomes the only required field.

  5. Add any tags. The Event name and timestamp tags are added by default.

  6. Optionally, choose a Connection Template to sync the imported People to your CRM as part of the import.

  7. Review the credit count and confirm.

Popl processes the list in the background, so you can leave the page.

When it finishes, you get an in-app notification with a Take me there button and an email titled "Your Popl Prospecting Action is Complete."

Adding One Person at a Time

  1. On the People tab, click +.

  2. In Create and enrich people, enter a name and company.

  3. Popl fills in the contact and company details.

Working Your List

Using CRM Insights

CRM Insights columns appear on both the People and Companies tabs. They show whether a Person or Company already exists in your CRM, including account owner, lifecycle stage, and opportunity stage. Click any CRM Insights value to open that record in your CRM.

Hover over any CRM Insights column to see how its content is determined.

To refresh CRM Insights:

  1. Select the People or Companies you want to refresh.

  2. Click Refresh CRM Insights in the action bar.

Filtering and Syncing

  1. Filter the People tab by any column, including CRM Insights. The People tab supports AND and OR filters.

  2. Select the People you want.

  3. Click Sync to CRM label and pick a connection.

Synced People appear on the Sync Logs page.

Tip: Filter to open opportunities or a single account owner, then sync that group, so each rep only gets the accounts they own.

Creating Leads from People

  1. Select People on the People tab.

  2. Click Create Leads in the action bar.

  3. Confirm the Event, lead owner, and tags.

Leads assigned to an Event run through that Event's lead flow, including auto sync. The original Person record stays so that you will have both a lead and a Person for the same contact.

Exporting

Select People or Companies and export them to CSV. Companies can be exported but cannot be synced to your CRM.

Coming Soon

Enriching an Exhibitor List

Paste the public URL of an event's exhibitor page, or upload a Company file. Popl creates a Company for each exhibitor, shows you the count, and enriches them once you confirm. You can then prospect into those Companies.

Prospecting People by Company and Role

Pick a Company and filter by job title, department, seniority, or location. Popl returns up to 50 people per company. Enrich the ones you want for 1 credit each, and they are added to the People tab. You can add up to 5 companies manually per session, or import a Company file to prospect more.

What to Expect

After You...

What Happens

Import a list

People appear on the People tab and their Companies appear on the Companies tab.

Import a list

Your Leads page and lead counts do not change.

Sync at import

People show in Sync Logs.

Enrich a list

Enrichment can take anywhere from a few minutes to an hour depending on list size. You get an email when it's done.

Troubleshooting

Issue

What to Do

"CSVs cannot exceed 5,000 rows. Split it into smaller parts and upload again."

Split your file into parts of 5,000 rows or fewer and import each one.

I don't see the Prospect tab

Prospect is available to Full Team Admins and Subteam Admins on teams with the Prospect add-on. Talk to your account manager about access.

CRM Insights columns are empty

Connect Salesforce or HubSpot, then refresh CRM Insights from the action bar.

"Connect Salesforce or HubSpot to view CRM Insights"

No CRM connection exists at the Event, full team, or subteam level. Add one in Integrations.

CRM Insights disappeared

The connection they came from was deleted or its credentials changed. Refresh to pull them from another connection.

I can't delete a Company

Delete the People associated with it first.

Imported People didn't get follow-up emails

This is expected. People never run through the lead flow. Create leads from them if you want that.

FAQ

Question

Answer

Will importing the same list twice charge me twice?

No. People already imported in the same Event are updated, not duplicated, and don't use another credit.

What if someone captures a lead who already exists as a Person?

Both exist independently. Capturing the lead doesn't change the Person.

Does Popl email the people I import?

No. Popl finds and enriches the list. Your team reaches out from your own tools.

Can members use Prospect?

Not yet. It's available to Full Team Admins and Subteam Admins.

Is Prospect in the mobile app?

No. It's on the web dashboard only.

Do CRM Insights use credits?

No. Only enrichment uses credits.
