Event Flows - Data Capture Step (Coming Soon)

Configure the fields, qualifiers, and lead capture forms used to collect lead data at events

Overview

Data Capture is the first step in the Event Flow. It controls:

  • What fields appear during lead capture

  • Which fields are required

  • Which fields determine lead completion

  • What fields are displayed when scanning leads or creating manually

  • What info is collected from the Lead Capture Form at events

Before You Start

Make sure you:

  • Creates an Event Flow

  • Have Full Team Admin or Subteam Admin access

Required subscription: Exclusively available on the Event Lead Capture (ELC) plan.

Within ELC teams:

  • Full Team Admins and Subteam Admins can configure Data Capture settings

  • Members can capture leads within assigned Event Flows

  • Members cannot modify Data Capture configurations


Scanned Leads vs Lead Capture Form

The Data Capture step includes two tabs that manage different lead capture methods.

Tab

Description

Scanned Leads

Used for leads captured through badge scans, business card scans, or manual lead creation in the mobile app

Lead Capture Form

Used for attendee self-submission of leads via scanning a Popl QR code and triggering the lead capture form

The two tabs are configured independently.

  • Required field settings and alias settings only applies to the tab where they are configured.

  • The only shared component is Qualifiers, which are configured from the Scanned Leads tab and displayed as read-only on the Lead Capture Form tab.


Configuring the Scanned Leads Tab

The Scanned Leads tab controls the lead capture experience for team members using the mobile app.

It includes three sections:

  1. Enriched Fields

  2. Qualifiers

  3. Badge Kit (optional)

Enriched Fields

Enriched Fields are lead fields populated through enrichment or manual lead creation.

Admins can drag and reorder fields to control how they appear when creating leads

Hiding Fields

Admins can hide or unhide fields from the field options menu.

Hidden fields:

  • Do not appear during lead creation

  • Continue to populate through enrichment

  • Remain visible on lead detail and edit views

  • Can still sync to CRMs and exports

Phone Number Fields and Country Codes

Phone number fields include an Enable country code setting.

When enabled:

  • Country code selection appears on all visible phone number fields

  • The setting applies across the entire Event Flow

  • Country codes appear during lead creation and editing

Qualifiers

Qualifiers are custom questions asked during lead capture to collect additional context about a lead.

Common examples include:

  • Product interest

  • Timeline

  • Prospect type

  • Budget

  • Event-specific qualification questions

Qualifiers help teams segment, qualify, and prioritize leads after capture.

Badge Kit (optional)

Applying a Badge Kit is an optional setting that allows teams to use Popl to access lead data provided by the event - as opposed to solely via Popl enrichment.

When Badge Kit is connected:

  • Badge scan data automatically populates enriched lead fields

  • Enriched fields populated by Badge Kit display a Badge Kit indicator in the data capture step


Field Settings

Required fields

Required fields must have a value before a lead can be saved.

  • Qualifiers can be set as required from the qualifier's three-dot menu. A confirmation appears before applying.

  • Enriched Fields cannot be set as required from the UI. You can reach out to Popl support to require an enriched field, however we do no recommend requiring enriched fields.

Necessary for Completion (Completed Leads)

Fields marked as Necessary for Completion:

  • Do not block lead creation when empty

  • Determine whether a lead counts as Complete

  • Help users identify incomplete leads that still require additional information

Any user that owns incomplete leads (leads with empty "necessary for completion fields), will see a banner on their leads page in the mobile app and dashboard communicating they have incomplete leads.

Configuring the Lead Capture Form Tab

The Lead Capture Form allows leads to self-submit their information via a form.

Leads can access the form by scanning the QR code of a team member assigned to the Event Flow when the Event Flow is active.

Form Priority During Active Event Flows

When an Event Flow is active:

  • The Event Flow form overrides all other forms, including forms coming from a template or the member's individual card

  • This form from the Event Flow will automatically display for any assigned members while the Event Flow is active

Form Fields

The Form Fields section controls which fields appear on the lead-facing form.

Admins can add, Default Popl fields, Custom fields (including Qualifier fields)

Enrichment

Lead enrichment is disabled by default for Lead Capture Form leads and admins can optionally enable it to take place on these leads.

When enabled, enrichment will:

  • Run on all lead capture form leads that contain a name and company

  • Will not overwrite any manually entered values on the lead

  • Use one enrichment credit per enriched lead

Requirements for enrichment to function properly:

  • Name must be included on the form

  • Company must be included on the form

Qualifiers on the Lead Capture Form

Qualifiers displayed on the Lead Capture Form tab are read-only and will be added to all lead capture form leads for optional completion later on.

To create or edit qualifiers:

  1. Navigate to the Scanned Leads tab

  2. Configure the qualifier there

Qualifier fields can also be added directly to the form if you want attendees to complete them during submission.
