Messages you and your leads receive after Lead Capture

Learn what messages are automatically sent to you and your leads after capturing a contact with Popl.

Overview

Required subscriptions: All users receive these communications by default. Some messages, like the Follow up Email, are customizable and optional, and are available to Pro+ and Team subscriptions.

When you capture a lead using Popl (via badge scan, business card, or QR code), several automated messages may be sent to you and/or your lead.

These communications are designed to streamline follow-up, reduce manual outreach, and reinforce the impact of in-person connections.

This guide outlines what gets sent, when, and how these messages can be managed.


Messages that are adjustable by you

Follow up email

Who receives it: You (the Popl user) and your lead
When it's sent: Immediately after lead capture (if enabled)
What it includes: A shared email thread with your contact details and a short introduction
Customizable: Yes. Messaging can be configured by an admin at the campaign, template, or individual card level.

Campaigns will override a template and an individual card.
Can it be turned off? Yes. By removing messaging at all levels

Keep in mind: If the Follow up email is not turned on, the system will default to sending the Lead Connection email instead.


Automatic messages

System messages, such as the default lead connection email and SMS notifications, are core to the Popl platform and cannot be turned off without a backend request.

Who receives them: You and your lead

The email you receive:


When it's sent: After you've shared your Popl digital card with a lead and they connect with you, if no Follow up email is set
What it includes: An email highlighting the new lead and a link to your dashboard
Customizable: No
Can it be turned off? No. This can only be disabled by Popl via a backend request

The email your lead receives:


When it's sent: After the lead has connected with you, if no Follow up email is set
What it includes: A simple View Contact link to your digital business card
Customizable: No
Can it be turned off? No. This can only be disabled by Popl via a backend request

Note: The emails are sent separately, not in the same thread.

Push notification

Who receives it: You
When it's sent: Immediately after a lead is captured, and 24 hours later, to remind you to follow up with them
What it includes: A reminder to follow up and a link to the Popl Mobile App
Customizable: No. Push notifications cannot be edited

Can it be turned off? Yes. Simply disable push notifications for the Popl Mobile App

Default SMS notification

Who receives it: You and your lead (if their phone number was submitted via the lead capture form)
When it's sent: Immediately after a lead is captured
What it includes: A link to the captured lead profile
Customizable: No
Can it be turned off? No - only by Popl via backend control
